How to Merge Google Calendars Tutorial

If you want to keep up with your schedule, then Google Calendar has got your back. This time-management tool allows you to create events, manage various tasks, and share calendars. Whether you are looking for a hassle-free way to keep track of your assignments, appointments or tasks, you can rely on google calendar.

But the problem occurs when we use multiple google accounts for our work, study, and personal life. Switching from one calendar to another can create a hectic experience that none of us want. But is there a solution to that?

Let us dive right in and find out.

Can I Merge Google Calendars Together?

Yes, you can. There are actually a couple of different ways to do this depending on what your end goal is:

  • Merge Google Calendars from different Google Accounts using Import/Export
  • Sync multiple Google Calendars together via Subscribing to other account’s calendars

Using import/export allows you to quickly export a calendar(s) from other Google accounts and import those calendars into your account. This requires that you have login access to the other Google accounts. The main downside of this approach is that it only captures the events on those other calendars at the time of import. Any subsequent changes/additions on those other accounts will not show up on your new calendar. The best use case for this is if you have multiple Google accounts and you only want to use one of those accounts for Google Calendar going forward into the future.

The Sync option is more elegant because it allows you to have access to the events on multiple calendars and have them appear to be on one single calendar view. This requires the permission of the other Google Account owners who own those calendars. The main advantage to this option is as people update those other calendars, you automatically receive the updates.

Merging Google Calendars Together via Import/Export

Below are the steps that are required to merge two Google Calendars together:

  1. Sign in to your account.Go to settings.
  2. Go to Import and export.
  3. Export the calendar
  4. Repeat the process for all accounts.
  5. Extract the downloaded files.
  6. Create a new calendar account or log into another existing account
  7. Import all the downloaded calendar files. 

Step 1: Sign in to your account

Sign in to the Google Calendar you want to export calendars from.

Once you are in the calendar, click on the setting wheel. Located on the top right corner. You will see a drop-down menu after right-clicking the wheel. From the drop-down menu select the first option Settings.

Step 3: Access the import and export menu

In the setting general menu, you will see an add Calendar option. Click on it and select the import and export option from the menu.

Step 4: Export the calendar

Click the “Export” button to export the calendars for this Google Account

Once you access the import and export menu, click on the “Export” button. This will download an ICS calendar file from that Goggle account onto your hard drive.

Step 5: Repeat the process for all account

Now that you have exported the file from your google calendar to your hard drive, you have to log out of your current account.

Now login to another account and repeat the same steps. Keep exporting all the calendars you want to merge into your computer until you are done.

Pro tip: Make sure to move your downloaded calendar files to a separate file, so you do not lose them while merging.

Step 6: Extract the downloaded files

All the files you have previously downloaded will be in zip files. Once you are done downloading all the files from the calendars you want to merge, extract them using WinRAR or 7-zip, or if on a Mac, simply double-click to create a directory containing the ICS files.

After extracting, you will get your ICS calendar files, ready to be merged into one Google Calendar.

Step 7: Create a new calendar account or use another existing account

Now create a completely new Google Calendar account or log into another Google account where you want to import all the calendars you have downloaded.

Now in this new calendar click on the setting wheel. Located on the top right corner. You will see a drop-down menu after right-clicking the wheel. From the drop-down menu select Settings.

Click on it and select the import and export option from the menu.

Once you access the import and export menu, you have to click on the “Select file from your computer” button.

This will open up a file explorer. From there, go on to the file where extracted all the ICS calendar files and select all of them. Click the “Open” button.

You should see your ICS file in the grey box as shown in the screenshot above. Click the “Import” button to import the ICS file into your calendar.

You should see an import event dialog box like the one above. Click “OK” to view your calendar.

After the upload is finished, you will be able to see your calendars merged.

How to Merge Google Calendars via Subscribing to Calendars on Other Google Accounts

Open Up Your Google Calendar Account

Open up Google Calendar and log into your account. Click on the plus (+) button to the right of “Other calendars” as shown in the screenshot above.

A menu should appear like the one above. Click “Subscribe to calendar”.

Add the Account of the Person(s) Who Own the Google Calendar You Want to Add

Select or type in gmail address of owner of calendar you want to subscribe to in Google Calendar

Under “Add calendar” type in the email address of the owner of the Google Calendar you want to have access to.

Request Access to the Calendar

A “Request access” dialog box will appear. Type in a message and click “Request access” as shown above.

The owner of the Google Calendar you want to access will receive an email like the one above and will need to click the link in the email to approve your request.

Once the owner clicks the approval link in their email, they will be taken to their Google Calendar and the dialog box shown above. The owner then sets the permissions you will have to their calendar and will click “Send” to send you an invite to their Google Calendar.

You will receive an email from the owner of the Google Calendar you want access to inviting you to access it. Click the “Add this calendar” link in the email.

Clicking the link will open your Google Calendar account and the “Add calendar” dialog box will appear. Click the “Add” button to add the Google Calendar to your Google Calendar.

You should now have access to the events in the Google Calendar.

How do I change the color of my Google calendars?

To change the color of your Google Calendar, follow the step below.

  1. Click on the menu on the top left corner
  2. Go into the setting.
  3. Select the calendar you want to change.
  4. You will see the color you are using at the moment. Tap on that and select your desired color from the list.
